POSITION: EVENT LEAD - CONTRACTOR

We are seeking an Event Lead to take ownership of our onsite event execution and ensure each event runs smoothly. This client-facing role requires a dynamic individual who can work directly with clients and vendors, translating the event vision into reality while maintaining a high level of professionalism.

Key Responsibilities:

Client Engagement & Coordination:

  • Act as the primary onsite contact for clients, ensuring that the event vision is executed flawlessly and that all goals are met.

  • Communicate and collaborate with the Event Manager to fully understand the look and feel of each event, translating that vision onsite.

  • Coordinate with vendors onsite, ensuring they meet their obligations, are set up according to plan, and handle any issues that may arise.

  • Provide real-time client updates, ensuring their expectations are managed throughout the event.

Event Management (Onsite Only):

  • Oversee the onsite setup, execution, and teardown of events, ensuring all materials are in place and aligned with the event plan.

  • Troubleshoot onsite challenges, using creative problem-solving to ensure a seamless experience for clients and guests.

  • Manage vendor relationships onsite, ensuring smooth operations and resolving any logistical issues that occur.

  • Ensure the event is executed within the established timeline and standards, keeping all elements on track.

Team Leadership & Collaboration:

  • Lead and mentor onsite event staff, fostering a positive and collaborative environment.

  • Ensure that staff understand and deliver on the client’s vision, embodying the Commonspace spirit in guest interactions.

  • Maintain high standards for guest experience, overseeing all event staff to ensure professional and courteous service.

Post-Event Reporting:

  • Provide feedback and post-event recaps to the Director of Events, including any successes, challenges, or opportunities for improvement.

  • Assist in capturing the essence of the event through social media photography and documenting highlights for marketing purposes.

Your Magic:

  • Proven Experience: 5+ years of event management experience with a strong portfolio of successful onsite event execution.

  • Client-Focused: Exceptional interpersonal skills with the ability to build strong relationships with both clients and vendors.

  • Operational Excellence: Strong organizational and logistical skills to oversee event setup, management, and breakdown.

  • Creative Vision: An eye for design and attention to detail to ensure event aesthetics match the planned vision.

  • Problem Solver: Thrive in fast-paced environments, adapting quickly to changes and challenges with creative solutions.

  • Team Leadership: A proven leader who can motivate and guide onsite staff to execute events flawlessly.

Requirements:

  • Proven experience in event management or a related field.

  • Strong communication and organizational skills, with the ability to manage multiple tasks and clients onsite.

  • Ability to lift up to 30 lbs when necessary.

  • Flexible schedule with availability for evenings and weekends.

  • A valid US Driver’s License and access to a vehicle is a plus.
